Privacy Policy

CloseTrac is committed to protecting your privacy and the privacy of your clients. This policy explains what data we collect, how we use it, and your rights.

1What we collect

We collect the minimum information needed to provide CloseTrac's services:

Account information - your name, email address, brokerage name, and role (agent or broker).
Transaction data - property addresses, closing dates, client names, and task details you create inside the platform.
Documents - files uploaded by you or your clients are stored securely in Supabase Storage.
Usage data - page visits, feature interactions, and error logs to help us improve the product.
Payment information - billing is handled by Stripe. CloseTrac never stores your full card number.

2How we use your data

Your data is used exclusively to:

Operate and improve the CloseTrac platform
Send you transactional emails (task notifications, document submissions, invites)
Provide customer support when you contact us
Diagnose and fix bugs and performance issues

We do not use your data for advertising. We do not sell or rent your data to any third party.

3Data sharing

We share data only with:

Supabase - database and file storage (AWS infrastructure, SOC 2 certified)
Vercel - hosting and edge delivery
Stripe - payment processing (PCI DSS compliant)
Postmark - transactional email delivery
Anthropic - AI document analysis (documents are sent to Claude API for analysis only and not retained for training)

No other third parties receive your data without your explicit consent.

4Data retention

We retain your account data for as long as your account is active. If you cancel your account, we will delete your data within 30 days upon request. Transaction documents are retained for 12 months after deal closure by default, or deleted sooner at your request.

5Your rights

You have the right to:

Access - request a copy of all data CloseTrac holds about you
Correction - update inaccurate personal information via Settings
Deletion - request complete deletion of your account and all associated data
Portability - export your deals and task data in CSV format from the Deals dashboard

6Cookies

CloseTrac uses only essential cookies required for authentication and session management. We do not use advertising cookies or third-party tracking pixels. You may disable cookies in your browser settings, but this will prevent you from logging in.

7Security

All data is encrypted at rest (AES-256) and in transit (TLS 1.3). Supabase row-level security ensures users can only access their own data. See our Security page for full details.
