Terms of Service

By creating a CloseTrac account or using our platform, you agree to these Terms of Service and our Privacy Policy. If you don't agree, please do not use CloseTrac. These terms apply to all users including individual agents, brokers, and team members.

CloseTrac is designed for licensed real estate professionals and their clients. By using CloseTrac, you represent that you are at least 18 years old and have the legal capacity to enter into a binding agreement. CloseTrac does not require you to be a licensed agent to use client-facing features.

You are responsible for maintaining the confidentiality of your account credentials. You agree to notify us immediately at support@closetrac.com if you suspect unauthorized access to your account. You are responsible for all activity that occurs under your account.

Broker accounts may invite agents and manage their teams. Each agent seat grants one user access to the platform under the broker's subscription.

You agree not to:

CloseTrac offers subscription plans billed monthly or annually. Fees are charged in advance at the start of each billing period. All fees are non-refundable except as required by law or at our sole discretion.

Add-on transaction packs and agent seats are billed immediately upon purchase and prorated to your billing cycle. Canceling a subscription does not trigger a refund for unused time in the current period.

Prices may change with 30 days' notice via email.

You retain ownership of all data, documents, and content you upload to CloseTrac. By uploading content, you grant CloseTrac a limited license to store, process, and display that content solely to provide the service to you.

We process uploaded documents using AI (Anthropic Claude) for analysis purposes. Document content is not retained by Anthropic for model training.

You are responsible for ensuring you have the right to upload any documents shared via CloseTrac, including obtaining necessary client consents.

We aim for high availability but do not guarantee uninterrupted access to CloseTrac. We may perform scheduled maintenance with advance notice, or emergency maintenance without notice. CloseTrac is not liable for losses arising from service interruptions.

You may terminate your account at any time via Settings → Billing. We may suspend or terminate accounts that violate these terms, with or without notice. Upon termination, your right to use CloseTrac ceases immediately. We will retain your data for 30 days after termination before deletion, unless you request earlier deletion.

CloseTrac is provided "as is" without warranties of any kind. To the maximum extent permitted by law, CloseTrac shall not be liable for any indirect, incidental, or consequential damages arising from your use of the platform, including lost profits, lost data, or missed transaction deadlines.

Our total liability to you for any claim arising from these terms or your use of CloseTrac is limited to the fees you paid in the 12 months preceding the claim.

We may update these terms from time to time. We'll notify you by email at least 14 days before material changes take effect. Continued use of CloseTrac after changes constitutes acceptance of the updated terms.
